ORDERS

Quotes and Pricing Validity

  • All written quotes provided by Columbia Coatings LLC are valid for fourteen (14) calendar days from the date the quote is issued, unless otherwise stated in writing.
  • After the 14-day period expires, pricing is subject to change due to material costs, supplier pricing, freight, or other market conditions. Expired quotes must be reissued or reconfirmed before an order can be placed.
  • Quotes do not guarantee product availability or lead times unless explicitly stated.

Order Processing

  • Orders are processed during normal business days only. Orders are not processed on weekends or recognized holidays.
  • Order confirmation emails are sent immediately after an order is placed. Customers are responsible for reviewing the confirmation to verify shipping address, product selection, and quantities.
  • Any errors or discrepancies must be reported promptly to avoid delays or additional charges once processing has begun.

Order Cancellation

  • If a customer would like to cancel an order there may be a cancellation fee of up to 10% applied to the refund. Orders that have been marked as “completed” are final and cannot be cancelled.

Issues With Orders

  • If a customer experiences issues while placing an order or believes there is a pricing or calculation error, customer service must be contacted before the order is finalized.
  • Once an order has been submitted and confirmed, it is considered accepted for processing.

Pricing Errors and Corrections

  • In the event of a pricing error, system glitch, or incorrect product pricing, Columbia Coatings LLC reserves the right to correct pricing on any unpaid order prior to payment processing.
  • Orders with incorrect pricing may be corrected, placed on hold for customer confirmation, or canceled at Columbia Coatings LLC’s discretion.
  • Columbia Coatings LLC is not obligated to honor incorrect or unintended pricing displayed due to technical errors, typographical mistakes, or system malfunctions.

Changes to Orders

  • After an order is placed, items cannot be changed, added, or removed.
  • If an exception is approved by Columbia Coatings LLC to add items to an existing order, a five dollar ($5.00) surcharge will apply in addition to the cost of the added items and any applicable shipping charges.
  • Shipping methods may only be upgraded to an expedited option by calling the main sales phone line at 931-388-7730.
  • A five dollar ($5.00) surcharge will apply in addition to any increased shipping cost associated with the expedited shipping method.
  • If the order has gone through the entire fulfillment process and marked as completed no changes shall be made.

SHIPPING

Shipping Rate Estimate

  • Shipping rates displayed at checkout are estimates based on carrier pricing data available at the time of purchase. Due to carrier rate fluctuations and market conditions, actual shipping costs may change once the order is processed and packaged.
  • If carrier rates increase or the system-calculated shipping cost is inaccurate, Columbia Coatings LLC reserves the right to collect the difference before the order is released for shipment. Customers will be notified promptly of any adjustment and may either approve the updated total or cancel the order for a full refund.
  • All shipping charges must be paid in full prior to shipment. Columbia Coatings LLC is not responsible for delays, rate changes, fuel surcharges, or additional fees caused by carrier pricing adjustments or incorrect or incomplete address information provided by the customer.

Combined Orders

  • Orders with multiple items will ship together when all products are ready. Orders containing items with different lead times will ship when the entire order is complete.
  • If a customer requests that certain items ship separately before the full order is ready, the customer is responsible for all additional shipping costs required to split the order.

Same-Day Shipping

  • Columbia Coatings LLC makes every reasonable effort to ship in-stock items ordered by 12:00 PM (CST) on the same business day. Same-day shipping is not guaranteed and may be impacted by order volume, staffing, or operational constraints.
  • Same-day shipping does not apply to ceramic coatings, equipment, metal art, pigments, or chemical products.
  • Orders shipped via USPS will incur a minimum one-business-day handling delay prior to shipment.

Expedited Shipping

  • Expedited shipping methods, including Next Day Air and 2nd Day Air, do not override posted product lead times for any items, including formulated powders.
Next Day Air
  • Next Day shipping will deliver one business day after the order is shipped. Orders shipped on Friday will be delivered on the following Monday. Weekends are not considered business days. If Saturday delivery is required, customers must contact customer service to arrange this prior to shipment. Additional charges may apply.
2nd Day Air
  • Carriers no longer provide a guaranteed delivery commitment on 2nd Day Air shipments.
  • If a 2nd Day Air shipment is delayed: – Columbia Coatings LLC will file a claim on the customer’s behalf for any eligible shipping refund. – Any refund of shipping fees is subject to the carriers’ claim review process and approval. – Columbia Coatings LLC cannot issue a refund for 2nd Day Air shipping charges unless and until the carrier authorizes the refund.

Flat Rate – 2-Day Shipping

  • The Flat Rate – 2-Day shipping option is available for powder orders only. The two-day transit time is an estimate and is not guaranteed.
  • No refunds will be issued for delays beyond two days. All orders are subject to posted product lead times.
  • For time-sensitive deliveries, customers are encouraged to select an expedited shipping option.

Free Shipping

  • Free shipping is available on qualifying domestic powder orders totaling over $150 within the continental United States.
  • Free shipping does not apply to orders shipped to Alaska, Hawaii, or Puerto Rico and excludes ceramic coatings, pigments, select equipment, metal art, chemicals, and blasting media.
  • To receive free shipping, customers must select the shipping option labeled “FREE SHIPPING OVER $150” at checkout. Failure to select this option will result in standard shipping charges applying.

Chemical Shipping Restrictions

  • All chemical products must be shipped via ground service only. Chemicals are not eligible for expedited shipping methods under any circumstances.

Heat Advisory

  • Powder coating materials are heat sensitive. During periods of high temperature, customers are strongly advised to select expedited shipping to reduce transit time and exposure to heat.
  • Columbia Coatings LLC is not responsible for heat-related damage to powder and will not issue exchanges, credits, replacements, or refunds for damage caused by heat exposure during transit or after delivery.
  • Customers may request a temporary shipment hold if the order is not expected to arrive within the same calendar week. To request a hold, the order comments must clearly state “HEAT HOLD” at the time of purchase. Orders without this note will ship as scheduled and will not be held.
  • It is the customer’s responsibility to ensure deliveries are collected promptly. Packages left unattended or outdoors are subject to increased heat exposure. Columbia Coatings LLC is not responsible for damage resulting from delayed pickup, unattended delivery, or packages left outside.

Signature Requirement

  • All powder coating guns require a signature upon delivery.
  • If a delivery attempt is unsuccessful because the customer or an authorized recipient is not available to sign, any re-delivery fees, carrier return fees, or additional shipping charges will be the responsibility of the customer.

Billing Address Shipping Requirement – Powder Coating Guns

  • All powder coating gun orders must ship to the billing (“Bill To”) address associated with the payment method used at checkout.
  • Requests to ship powder coating guns to an alternate address will not be approved. This requirement is in place for payment verification, fraud prevention, and carrier compliance.
  • Customers are responsible for ensuring the billing address provided at checkout is accurate and current. Orders with billing address discrepancies may be delayed or cancelled until verification is completed.
  • No gun system can be shipped to a P.O. Box.

Incorrect or Damaged Products

  • Any issues involving incorrect or damaged products must be reported within fourteen (14) calendar days of delivery.
  • If an issue is not reported within this timeframe, no refunds, credits, replacements, or adjustments will be issued under any circumstances.
  • Customers are responsible for inspecting all products promptly upon receipt to verify accuracy and condition.

RETURN ELIGIBILITY

  • To protect product integrity and ensure fairness, the following return eligibility requirements apply to all orders placed with Columbia Coatings LLC.

Eligible Returns

  • Only powders that are unopened, unused, and in their original, factory-sealed packaging are eligible for return.
  • Products that have been opened, partially used, repackaged, contaminated, or altered in any way are not eligible for return or refund.
  • Returns must be authorized by Columbia Coatings LLC and physically returned within fourteen (14) calendar days of the delivery date. Returns that are not authorized and received within this timeframe will not be approved.

Non-Returnable Items

  • The following items are non-returnable and non-refundable due to safety, contamination risk, or product-specific handling requirements:
    • Custom powders, formulated powders, high-temperature powders, and acrylic powders, including all made-to-order or specialty formulations.
    • Liquid coatings and liquid-applied products.
    • Masking products, including tapes, plugs, caps, and related consumables.
    • Blasting media and abrasive materials.
    • Accessories, consumables, and wear items, including parts or items intended for installation, use, or contact with equipment.
    • Powder gun parts, including consumables, hoppers, and kegs.
    • Metal art.
  • These items are not eligible for return once shipped, regardless of whether they are unopened.
  • Any product returned without prior authorization, without a valid Return Merchandise Authorization (RMA), or that fails inspection upon receipt will be rejected and returned to the customer at the customer’s expense.

Return Authorization and Handling

  • Customers must contact customer service and obtain return authorization before sending any product back. Unauthorized returns will not be accepted.
  • Products must be returned using appropriate packaging to prevent damage during transit. Damage resulting from improper packaging will void return eligibility.

Fees and Shipping Costs

  • Customers are responsible for all return shipping costs, including insurance and tracking.
  • Original shipping charges are non-refundable.
  • For orders that qualified for promotional free shipping, the actual outbound ground shipping cost will be deducted from any approved refund.
  • A thirty-five percent (35%) restocking fee applies to all approved returns, except for items explicitly covered under a separate written money-back guarantee.

Inspection and Final Approval

  • All returned products are subject to inspection upon receipt.
  • Columbia Coatings LLC reserves the right to approve or deny any return or refund based on product condition and compliance with this policy.
  • Refunds, if approved, will be issued to the original payment method after inspection is completed.

Related Terms and Conditions

  • This Return Eligibility section operates in conjunction with, and is subject to, the company’s Shipping Policy, Damaged or Incorrect Product Policy, Refund Processing Policy, and Order Cancellation Policy.
  • Any timelines, exclusions, or limitations stated in those sections apply equally to returns unless explicitly stated otherwise.
  • In the event of a conflict between policies, Columbia Coatings LLC reserves the right to interpret and apply the policy that best protects product integrity, safety, and business operations.
  • Abuse of the return process, excessive return activity, or attempts to circumvent policy restrictions may result in denial of future returns or refusal of service at the company’s discretion.
  • This return eligibility policy is enforced consistently to maintain product quality, safety, and operational integrity.

FORMULATED POWDERS

Processing Time

  • Formulated powders are custom, made to order products that require additional processing time beyond standard inventory items.
  • Formulated powder orders may take up to four (4) business days to process prior to shipment. Processing time begins once the order is received and payment is confirmed.

Shipping and Lead Times

  • Processing time for formulated powders does not include shipping or transit time.
  • Orders that have backordered items will not ship until complete including stock and formulated powders.
  • Orders containing formulated powders are subject to the same shipping methods, carrier transit times, and lead time policies as other products.
  • Selecting expedited shipping affects transit time only and does not reduce the processing time required for formulated powders.

COLOR MATCHING

Color Representation Disclaimer

  • Images of powders displayed on the Columbia Coatings LLC website are provided for reference purposes only. Actual product colors may vary due to screen settings, device displays, and lighting conditions at the time of viewing or application.
  • Columbia Coatings LLC does not guarantee exact color matches based solely on digital images.

Swatches and Customer Responsibility

  • For precise color matching, customers are strongly encouraged to order a physical color swatch prior to placing a larger order. Ordering a swatch is the most reliable way to verify color accuracy and suitability for the intended application.
  • By placing an order without first reviewing a swatch, the customer accepts the risk of color variation.

Color Matching Tools

  • Customers may utilize Columbia Coatings LLC’s online Color Match Tool or Custom Color Curation tool to assist with color selection. These tools are provided as guides only and do not replace physical swatch verification.

Fast Match Color Matching Service

  • Columbia Coatings LLC offers a FREE Fast Match Color Matching Service. This service compares a customer-submitted sample using visual inspection and color sampling technology, devices, and software to find the closest match for the sample to an existing color within Columbia Coatings LLC’s vast palette of coating products.
  • Fast Match results are limited to existing colors and are provided as a best-match service. Physical swatch verification is still recommended prior to large or production orders.

Custom Color Match Service

  • Columbia Coatings LLC offers a Custom Color Match Service that includes a custom formulation designed to match the specific color and appearance of a customer-provided sample.
  • A one hundred fifty dollar ($150) non-refundable formulation fee applies once the sample is received and Columbia Coatings LLC confirms the request can be processed.
  • Custom formulated powders start at fifty dollars ($50) per pound with a five (5) pound minimum order. The formulation fee is separate and not applied toward material costs. 
  • Lead time for a custom formulated powder is 4-6 weeks and requires a physical sample shipped in. Customers are responsible for shipping and handling both to and from Columbia Coatings.
  • Custom Color Match orders are custom, made-to-order products and are
    non-refundable.
  • Columbia Coatings LLC is not responsible for color dissatisfaction resulting from reliance on digital tools, Fast Match results, custom matches, images, or unverified selections.

EQUIPMENT TERMS & CONDITIONS (OVENS & BOOTHS)

Payment Requirements

  • Payment terms for equipment orders are as follows:
    • Full payment is required at the time of order for booths and small systems due to expedited production schedules.
    • A fifty percent (50%) deposit is required at the time of order for larger ovens, excluding bench-top and two-foot wide ovens. The remaining balance is due two (2) weeks prior to shipment.
    • Production will not begin until payment or deposit is received. Purchase orders alone do not authorize production.

Accepted Payment Methods

  • Columbia Coatings LLC accepts the following payment methods for equipment purchases:
    • ACH Payment: No processing fees apply. ACH payments may take up to two (2) weeks to process.
    • Wire Transfer: A seventy-five dollar ($75) wire transfer fee applies. Additional bank fees may be charged by the customer’s financial institution.
    • Credit Cards: Credit card payments are subject to processing fees as outlined below and are not included in online pricing calculations. Customers placing equipment orders online will be contacted by a sales associate.
    • Checks: Checks are accepted for initial payments only. If paying the full balance by check, full payment is required at the time of order. A forty-five dollar ($45) fee will be charged for returned checks.
    • Equipment Financing / Lease: Financing may be arranged through Columbia Coatings’ financing partners or a lender of the customer’s choice.

Credit Card Processing Fees

  • For equipment orders paid via credit card, the following processing fees apply:
    • Visa and Mastercard: Three percent (3.0%)
    • Discover and American Express: Three percent (3.0%)

Shipping and Freight

  • Shipping costs for equipment orders are not calculated online. Customers will receive a freight quote from a Columbia Coatings sales associate after the order is placed. Freight quotes are estimates and may change prior to shipment due to carrier pricing.
  • All ovens and booths are shipped unassembled via commercial flatbed trucks and are side-loaded unless otherwise specified.

Delivery and Unloading Responsibilities

  • Customers are responsible for having appropriate unloading equipment available at delivery. A forklift with a minimum of sixty-inch (60”) forks and a lifting capacity of five thousand to six thousand (5,000–6,000) pounds is recommended.
  • If a driver is required to wait longer than thirty (30) minutes to unload, a seventy-five dollar ($75) fee will be charged for each additional thirty-minute increment.
  • All electrical, gas, and utility connections, along with compliance with local codes and specifications, are the sole responsibility of the customer.
  • If equipment arrives damaged, the customer must note “DAMAGED” on the bill of lading prior to signing or refuse the shipment.

Cancellations and Modifications

  • Cancellations or modifications to equipment orders require approval from Columbia Coatings LLC and may result in restocking, crating, administrative, or other applicable fees.
  • Customers are responsible for reviewing all quote details for accuracy, including shipping address, products, and special notes. Any changes must be documented, approved, and acknowledged prior to production.

REPAIRS

  • Customers are responsible for all shipping costs associated with returning products or sending equipment to Columbia Coatings LLC for repair. Columbia Coatings LLC does not cover inbound or outbound shipping charges for returns or repairs.

Repairs for Powder Coating Guns

  • All powder coating guns must have a completed Repair Authorization Form submitted and approved before being sent to Columbia Coatings LLC for repair. The form is available upon request.
  • Repairs will not be accepted, evaluated, or processed without this form on file. Any equipment received without a completed Repair Authorization Form may be refused, returned to the sender, or held without inspection until the required form is completed.
  • Customers are responsible for providing accurate contact information and a clear description of the issue on the Repair Authorization Form. Columbia Coatings LLC is not responsible for delays caused by missing, incomplete, or inaccurate information.

Repairs for Burners

  • All burners must have a completed Repair Authorization Form submitted and approved before being sent to Columbia Coatings LLC for repair. The form is available upon request.
  • Repairs will not be accepted, evaluated, or processed without this form on file. Any burners received without a completed Repair Authorization Form may be refused, returned to the sender, or held without inspection until the required form is completed.
  • Customers must provide accurate contact information, burner model and serial number (if applicable), and a clear description of the issue on the Repair Authorization Form. Columbia Coatings LLC is not responsible for delays caused by missing, incomplete, or inaccurate information.

METAL ART

Custom Production and Lead Time

  • All metal art pieces are custom cut to order. Due to the made-to-order nature of these products, metal art orders typically ship within five (5) to ten (10) business days.
  • Production timelines are estimates and may vary based on order volume, material availability, or production requirements.

Customer Preparation and Finishing

  • Metal art pieces may require additional preparation upon receipt. This may include sanding, de-burring, or removal of small cutouts such as letters or interior shapes.
  • Customers are responsible for any finishing, surface preparation, or final handling required after delivery.

Shipping Charges

  • Shipping costs for metal art may be subject to adjustment once the item reaches the shipping department.
  • If additional shipping charges apply, customers will be notified prior to shipment. Shipment will not be released until any additional shipping costs are approved and paid.

LOST SHIPMENTS

  • At Columbia Coatings LLC, we take pride in shipping orders accurately and efficiently. In the rare event that a package is lost or undelivered, the following policy applies.

Order and Tracking Confirmation

  • An order confirmation email is sent to the email address on file once an order has been processed. Customers are responsible for verifying receipt of this confirmation and reviewing all order details, including the shipping address.
  • Once an order is fulfilled, tracking information will be sent to the same email address. Customers are responsible for monitoring tracking updates. Sales representatives are instructed to remind customers to check their email after each order is processed.

Shipping Address Responsibility

  • Customers are responsible for verifying the accuracy and completeness of their shipping address as shown on the order confirmation email.
  • Columbia Coatings LLC is not responsible for lost or undeliverable shipments resulting from incorrect or incomplete shipping information that was not corrected prior to shipment.
  • Customers must notify Columbia Coatings LLC of any address corrections before the order ships. Once a package has left our facility, rerouting is not guaranteed.

Undelivered or Missing Shipments

  • If a package has not been marked as “Delivered” and tracking has not updated for more than:
    • Seven (7) business days for domestic shipments, or
    • Fifteen (15) business days for international shipments
  • Customers must contact Columbia Coatings LLC to initiate a lost shipment claim by calling 931-388-7730. Claims will not be initiated through automated carrier systems or third parties.

Claims Process and Customer Options

  • All lost shipment claims must be initiated by phone. Customers are required to call Columbia Coatings LLC to begin the carrier claims process.
  • Once a claim is initiated, customers may choose one of the following options:
    1. Wait for Carrier Resolution
      The customer may wait for the carrier’s investigation to conclude. If the claim is approved, Columbia Coatings LLC will ship a replacement product at no additional cost. This process is 3-14 business days.
    2. Immediate Replacement Order
      The customer may place a new order for the same product and pay in full. Upon completion of the carrier investigation, and if the claim is approved or the original shipment is returned, reimbursement will be issued in accordance with the refund conditions outlined below.

Refund Conditions

  • Refund eligibility is determined as follows:
    • If the carrier claim is approved, a full refund will be issued for the original order.
    • If the original shipment is delivered after a replacement order has shipped, the customer may return the original, unopened product for a refund, minus shipping costs.
    • All returns must be pre-authorized and received in resellable condition.
    • If the original order is delivered and not returned, no refund will be issued.

DISCOUNTS & PROMOTIONAL ELIGIBILITY

Member and Equipment Discounts

  • Members receive a 1.25% discount on eligible purchases. Equipment Owners and Gun / Small Equipment Owners receive a five percent (5%) discount on eligible purchases.
  • Member Discounts, Gun Owner Discounts, and Equipment Owner Discounts do not apply to equipment orders.
  • Discounts apply only to qualifying items as determined by Columbia Coatings LLC and may not be applied retroactively to completed purchases.
  • Customers must be logged in to their account to view their appropriate discounts.
  • Only one discount or promotional offer may be applied per order unless explicitly stated otherwise.
  • Columbia Coatings LLC reserves the right to modify, suspend, or discontinue any discount program at any time without prior notice.

REWARDS POINTS PROGRAM

Earning Reward Points

  • Customers earn one (1) reward point for every whole dollar spent on qualifying purchases.
  • Reward points are calculated based on the order subtotal only. Shipping charges, taxes, and fees do not qualify for point accrual.
  • Reward points will be credited to the customer’s account five (5) days after the purchase date.

Reward Point Value and Redemption

  • Each reward point has a value of two cents ($0.02).
  • Customers must accumulate a minimum of one hundred (100) points before reward points may be redeemed.
  • Reward points may be applied toward any portion of an order, including products, shipping, and taxes.
  • Reward points may be used in combination with discounts, coupons, promotions, and store credit.

Expiration and Adjustments

  • Reward points expire three hundred sixty-five (365) days from the date they are issued.
  • Columbia Coatings LLC reserves the right to adjust, remove, or reinstate reward points if an order is returned, canceled, refunded, or otherwise modified.
  • Fraudulent accumulation, abuse, or misuse of reward points will result in the removal of points and may lead to account suspension or other restrictions.

Program Modifications

  • Columbia Coatings LLC reserves the right to modify, suspend, or terminate the Rewards Points Program at any time without prior notice.

FREE GIFT ELIGIBILITY & REDEMPTION

  • To qualify for a free gift, customers must meet all of the following requirements:
    1. The order subtotal must meet or exceed the minimum purchase amount specified for the free gift.
    2. The selected free gift must be added to the cart prior to checkout.
    3. The corresponding coupon code listed on the free gift page must be entered at checkout.

Additional Conditions

  • No product exclusions apply to free gift promotions; however, at least one item in the order must ship from our facility in Holladay, TN.
  • Only one coupon code may be used per order.
  • Coupon codes must be entered at the time of checkout. Coupon codes not applied during checkout cannot be added, honored, or applied retroactively after an order is placed.
